Administrative Associate

ESSENTIAL DUTIES & RESPONSIBILITIES:
 
Administrative Support
  • Manage the logistics of intercompany mail, bulk mailings, commercial shipping, and other wet-ink-related correspondences.
  • Maintain all records and reports necessary for Strongwell’s postage meter, office UPS, and FedEx accounts; prepare monthly reports.
  • Fulfill printed collateral requests from sales teams and coordinate with the marketing team to maintain adequate inventory and restocking levels for all printed literature.
  • Oversee Strongwell’s holiday greeting card and similar mailings.
 
Event and Visitor Support
  • Organize hospitality for company events, visitors, and internal meetings.
  • Support tradeshow logistics through planning, implementation, and follow-up.
 
Operational Support
  • Review Sales Director expense reports to prepare for final approval.
  • Review and distribute Sales Director Call Reports to relevant audience(s).
  • Assist with digitizing accounting or other vital records for appropriate record retention.
  • Assist the company switchboard by answering phones and greeting visitors.
  • Maintain a variety of mailing lists for use by Strongwell’s marketing and sales teams.
  • Offer support for team members with various administrative tasks as needed, providing backup support for other associates or office personnel during peak times or absences.
 
OTHER DUTIES & RESPONSIBILITIES:
  • Work in a fast-paced manufacturing environment and be able to multi-task.
 
QUALIFICATIONS: Experience, Competencies and Education
  • High school diploma or general education certificate required.
  • Strong computer skills required.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment (printers, copiers, etc.).
  • Ability to work independently and as part of a team.
